The Purge feature in CaseWorks allows a County Purge Admin to upload a Purge Report containing cases that no longer need to be retained in CaseWorks. The Purge Admin will follow the steps below when purging documents from CaseWorks.
Run the Destruct Report/Inactive Cases Report and export to an excel spreadsheet (save as an .xlsx file type). To learn how to run this report, click here.
NOTE: FSE/MSE/WFE: Counties have the option to utilize CaseWorks Inactive Cases Report to identify cases that haven’t had documents filed down to them for the specified number of years. To learn more about how to run this Inactive Cases report, click here.
NOTE: SSE/ACE: The report counties most frequently utilize is the SSIS Destruct Report. Because the SSIS Destruct Report only goes back 30 days, Purge Admins will want to run this report on a monthly basis. However, if a gap report is needed for a certain time period that goes back farther than 30 days, NCT does have the ability to run this report to provide Purge History for counties if needed. Please submit a support ticket to inquire about this option.
Review the Report and remove any cases that should not be purged from CaseWorks. This is a very important step, as the Purge Admin has the final responsibility in ensuring only the appropriate cases are purged from CaseWorks.
Format the Destruct Report by deleting and adding appropriate columns. Format should be as follows:
- Case Number column (i.e. Workgroup, MAXIS, Integrated Case, etc)
- Requested by column
- Comments column
Save Purge Report.
NOTE: Create a title that includes the date of the purge as a helpful reference.
